Job Description

Job Summary: Responsible for greeting visitors, handling phone calls, managing office correspondence, and providing general administrative support to ensure a smooth and professional front desk experience while assisting other departments as needed. 

Job Responsibilities: 

 

  • Front Desk Operations: 
  • Greet and welcome visitors in a professional and friendly manner.
  • Ensure all visitors sign in and are directed to the appropriate person or department. 
  • Answer, screen, and direct phone calls to the relevant team members. 
  • Maintain a clean and organized reception area
  • Communication Management:
  • Respond to emails, inquiries, and requests promptly and courteously. 
  • Handle incoming and outgoing mail and packages. 
  • Communicate important messages to relevant staff members in a timely manner.
  • Administrative Support:
  •  Schedule appointments and meetings for staff members and manage meeting room reservations.
  • Assist with basic office tasks such as filing, photocopying, and data entry.
  • Maintain office supplies inventory and reorder when necessary.
  • Record Keeping & Documentation: 
  • Maintain accurate visitor logs and office records. 
  • Assist with maintaining employee directories, office policies, or other documentation as needed. 
  • Security & Safety: 
  • Ensure compliance with office security protocols (visitor badges, access control systems). 
  • Report any security issues or maintenance needs to the appropriate departments. 
  • Additional Duties: 
  • Special projects as requested. 
  • Provide administrative support to other departments when needed. 

 

 

Job Requirements

Skills/Qualifications:

 

  • Skills: 

 

  • Strong verbal and written communication skills.
  • Excellent organized and multitasking skills. 
  • Proficiency in office software (Microsoft Office, Google Workspace)
  • Professional demeanor with focus on customer service. 
  • Ability to handle sensitive and confidential information with discretion. 
  • Bilingual in both English and Spanish 

 

  • Education: High school diploma or equivalent; additional certification in office administration is a plus. 
  • Experience: Prior experience in a receptionist or customer service role is preferred

Additional Information

Pay Range: $17.00-$85.00
