Order Data Entry & Shipment Claim Position

Job Description

Job Requirements
We currently have an opening for an Order Data Entry and Shipment Claims position and looking to fill ASAP. This is an office-based role, temp to hire, with the following details:
- Schedule: Monday to Friday, 8:00 AM – 4:30 PM
- Rate: $20.00 – $21.00 per hour
- Start date: Immediately for the right candidate
Primary Responsibilities:
Shipping Claims & Logistics Support (FedEx & UPS)
- Investigate and file claims for lost, misdelivered, or damaged packages, including missing contents.
- Follow up with FedEx and UPS to ensure all claims are resolved and TomaxUSA receives appropriate reimbursement.
- Coordinate with customs agents and customers to resolve international clearance issues.
- Initiate address corrections, reroutes, or “return to sender” requests through carrier customer service or online portals.
- Proactively resolve shipment-related issues to ensure successful and timely delivery of all customer orders.
Returns Processing
- Log all returned packages into the OMS (Order Management System).
- Contact customers to confirm updated shipping addresses for returned items.
- Create sales orders for re-shipments and provide customers with new tracking information.
Order Entry & Customer Service
- Accurately enter new purchase orders into the OMS (Office Master System).
- Review and verify pricing, imprint and shipping details, and customer information on all incoming POs.
- Communicate with customers to clarify discrepancies, provide updates, and ensure smooth order fulfillment.
- Respond to customer service inquiries in a prompt and professional manner.
- Maintain accurate and up-to-date records of all orders and customer interactions.
- Develop a strong understanding of the company’s products and services to support efficient order management.
Skills & Qualifications
- Strong written and verbal communication skills for effective interaction with internal teams, and shipping carriers
- High attention to detail with excellent organizational and time management abilities
- Proficiency in Microsoft Office applications, especially Outlook, Excel, and Word
- Basic understanding of FedEx and UPS shipping procedures (preferred, but not required)
- Comfortable learning and using order management systems (OMS) and other office software
- Able to investigate issues independently and follow through to resolution
- Strong data entry and typing skills with a focus on accuracy and efficiency
- Ability to multitask and adapt in a fast-paced, deadline-driven environment
- Self-motivated, dependable, and eager to take initiative and contribute to a team
- Willingness to take on additional related tasks and responsibilities as assigned by management
